UPDATE: Lessons Learned from a High-Volume Guest Stay
In a prior post, I shared an incident in which a guest brought an unexpectedly large group into our property. Here’s a professional, blog-friendly recap of what happened, the impact on the home, and the steps we’re taking to prevent recurrence.
Overview
Our property is a spacious, high-end residence: four bedrooms, four bathrooms, about 3,600 square feet, set on a single-acre lot. It’s not intended to function as a party house. Despite clear expectations, the guest brought in a significantly larger party than what was listed on the booking, marking the first time the guest used the platform. This situation highlighted several operational and maintenance challenges that we’ve addressed moving forward.
What occurred and the impact
1) Spa and pool area damage
– The hot tub water was heavily contaminated, likely due to spilled alcohol.
– The entire hot tub water required draining, cleaning, and refilling.
– The unit is professionally serviced weekly, but there was no feasible treatment for the contaminants in this case.
2) Property damage
– A hole was created in one wall, necessitating repairs.
3) Booking verification and guest behavior
– We contacted the platform to confirm the number of guests. The platform verified that the party exceeded the listing’s stated occupancy.
– The guest’s first-time use of the platform was noted as a possible explanation, though it does not excuse the behavior.
Operational takeaways and preventive steps
- Clear occupancy policies: Reiterate maximum guest counts in every listing and booking confirmation, including explicit penalties for violations.
- Enhanced verification: Implement stricter identity checks and a more robust verification process for high-risk bookings or first-time users.
- Pre-arrival brief: Provide a detailed pre-arrival guide outlining house rules, noise expectations, and the consequences of non-compliance.
- On-site safety and maintenance protocols: Review and strengthen routine maintenance schedules for amenities (hot tub, pools, etc.) and ensure accessibility for rapid response to any issues.
- Incident documentation: Keep thorough records of any violations and the actions taken, to support future host protections and potential claims.
- Guest screening and reviews: Balance openness with due diligence by incorporating guest review history into booking decisions when possible.
About the property
This home is designed for comfort and luxury, not for hosting large gatherings. With a dedicated team and regular maintenance, we aim to provide a seamless experience for guests while preserving the home’s integrity and safety.
Looking ahead
We remain hopeful that the remainder of our summer bookings will proceed smoothly. We appreciate the input from fellow hosts and guests who shared perspectives on how to manage similar situations more effectively.
